Test session administration

In Janison Insights, a test session is like a virtual classroom where invigilators manage test-takers as they complete an assessment. It is set up by an administrator or invigilator once the assessment event has been switched to Delivery mode.

Test-takers complete the assessment in Janison Replay or a browser, and their progress appears in real time on the Test Sessions Administration dashboard. Invigilators use this dashboard to oversee the session—for example, pausing a test or granting extra time.

Janison Insights is highly customisable and depending on the configuration of your site and the permissions of your role, screens may differ to the images in this documentation.

Create a test session

Test sessions are created from the Delivery Dashboard. For more information, see the detailed guide here.

You can create multiple test sessions—for example, one per room—so that each invigilator only sees the test-takers in their assigned room. Alternatively, a single session can be used to allow invigilators to monitor all test-takers at once.

This is an example of the session dashboard. The buttons displayed may vary depending on the settings enabled.

Test delivery settings

The actions available in a test session are determined by options selected in the test delivery settings. To access these settings, navigate to Settings > Test Delivery Settings.

You can hover over the ? icons to view details of each setting.

Administer sessions and test-takers

The Test Sessions Administration dashboard is where test sessions and test-takers are managed.

There are a number of things you can do from here:

DAllow unrestricted entryChecking this option allows test-takers that join after the session has started to enter without the test administrator needing to allow them entry.
EPause Proctored SessionsChecking this option pauses a proctored test if it loses connectivity to the proctoring software.
FNumber of test-takersThis displays the number of test-takers who have accessed the test session.
GManage the test-takersThese buttons allow you to manage the test-takers in the session by awarding more time, pausing and resuming them, allowing them to start the session, rejecting entry and submitting the test-takers.
Htest-taker filters

These allow you to filter the list of test-takers by their status:

  • All
  • Not started
  • Started
  • Paused
  • Submitted
  • Other
ITest-takers details and progressThis section shows each test-taker, their one time code and their status and progress.
JView Test Attempt Information

This icon in the Actions column displays the test-takers’ test attempt information.

Important

Test-takers who undertake the test in an offline mode may not appear on the dashboard until the attempt has been reconciled.

Start a session

Before the session has started, there are limited actions available.

As the test-takers enter the test they display on the dashboard. Test-takers will not be able to start their tests until you start the session.

To start the session, select the Start session button.

Pause and resume a session

Sometimes there may be a requirement to pause a test session, for example, when test-takers need to leave the room due to a fire drill.

Pausing the session will stop the test-taker’s time and locks them out from seeing and answering items.

You can then resume the session when ready, allowing test-takers to complete their test with the full amount of time.

To pause a test session

  1. Select the Pause session button.
  2. Enter the reason for the pause in the Details field (optional), then select the Confirm button to pause the test session.

To resume a test session

The resume option is only available if the session has been paused.

To do this:

  1. Select the Resume button.
  2. Enter the reason for resuming in the Details field (optional), then select the Confirm button.
  3. Select the Yes button to resume the test session.

Award or remove time

You can add or remove time from test-takers if a test is timed.

Award more time

This option allows you to increase the time limit for a particular test-taker.

To award time:

  1. From the Test Sessions Administration screen, select the checkbox next to the appropriate test-taker.
  2. Select the Award more time button.
  3. Complete the following:

    1. Enter how much time to add (in minutes) in the Time to add field.
    2. Enter the reason for adding more time in the Details field (optional).
    3. Select the Confirm button.

Award less time

This button will only be active if test-takers have been awarded more time.

To remove time:

  1. From the Test Sessions Administration screen, select the checkbox next to the appropriate test-taker.
  2. Select the Award less time button.
  3. Complete the following:

    1. Enter how much time to add (in minutes) in the Time to add field.
    2. Enter the reason for removing time in the Details field (optional).
    3. Select the Confirm button.

Pause and resume test-takers

You can pause and resume test attempts if required.

Pause a test-taker

Pausing a started test attempt stops the test-takers’ time and locks them out from seeing and answering items. You may need to pause an attempt if for example the test-taker needs to leave the room.

To pause a test-taker:

  1. From the Test Sessions Administration screen, select the checkbox next to the appropriate test-taker.
  2. Select the Pause test-taker button.
  3. Enter the reason for pausing the test-taker in the Details field (optional), then select the Confirm button.

Resume a test-taker

Paused test-takers appear in the All or Paused tab.

To resume a test-taker:

  1. From the Test Sessions Administration screen, select the checkbox next to the appropriate test-taker.
  2. Select the Resume test-takers button.
  3. Enter the reason for resuming the test-taker in the Details field (optional), then select the Confirm button.

Admit waiting test-takers

Invigilators can admit test-takers into the session either individually or everyone at once.

Note: If the Allow Unrestricted Entry checkbox is selected on the test sessions administration dashboard, test-takers can join the session without requiring the invigilator to admit them.

Before being admitted to the session, test-takers will see a Wait to Begin screen.

Test-takers can be viewed under the Waiting Entry tab in the Test Sessions Administration dashboard.

Admit or reject individual entry

  1. Select the Waiting Entry tab.
  2. Select the checkbox/s next to the appropriate test-taker/s. Select the top checkbox to select everyone in the session.
  3. Select Allow Start or Reject Entry.

A modal appears, allowing you to optionally enter a reason.

The text displayed on the modal varies based on your selection.

Admit all test-takers

To admit all test-takers, select Start-All.

Allow entry on a different device

If a test-taker changes to a different device, they will need to be admitted by the Invigilator before they will be permitted access to the test.

A lock icon appears in the Actions column of the test admin screen.

To admit or reject the test-taker:

  1. Select the Lock icon.
  2. Select the Accept or Reject button.

Submit test-taker

At times you may need to submit an attempt for a test-taker, for example, if the test-takers left the room without submitting.

To do this:

  1. Select the checkbox next to the appropriate test-taker.
  2. Select the Submit test-takers button.
  3. Enter the reason for submitting the test-takers attempt in the Details field (optional), then select the Confirm button.
  4. Select the Ok button.

Reopen test-taker

At times you may need to reopen a submitted attempt, for example, if you or the test-taker submitted an attempt by mistake.

When reopening an attempt, you can optionally add time.

To do this:

  1. Select the checkbox next to the appropriate test-taker.
  2. Select the Reopen test-taker button.
  3. Complete the following:

    1. Enter how much time to add (in minutes) in the Time to add field (optional).
    2. Enter the reason for reopening the test attempt in the Details field (optional).
    3. Select the Confirm button.

Finalise a session

Finalising a session closes the test session so that no test-takers can join. You would finalise a session when the testing is complete. Test sessions can only be finalised when all tests are submitted.

To finalise the session:

  1. Select the Finalise session button.
  2. Select the Yes button to confirm.
  3. Enter any information in the Details field (optional) and select the Confirm button.

    The session is now finalised. Select the Ok button.
